You must determine the steps for a Worktrack Task before any tasks are created. Once an actual task has been created, you will not be able to add, delete, or reorder steps without first deleting all existing tasks for that task definition.
Adding, deleting, and editing steps are all handled in the Task Steps section of the Task Definition screen. To view a step, double-click the step in this section to open the Task Definition Step screen. Specific instructions for page elements can be found here. However, here is a list of the things that you should consider when configuring a step:
- Step Number and Order of Steps: steps are organized numerically in ascending order based upon the order in which each step is to be completed. You must be careful when determining the order of steps as these cannot be later reordered.
- Requiring Completion of Prior Steps: if there are certain steps that can be done out of order from the rest of the steps, determine a recommended step number but then uncheck the box "Must first complete all prior steps".
- Step Name: this is the name of the step and will appear with this name in the check list when users are completing steps. Please note that this item may include spaces.
- Step Description: this is a longer description for the step than the Step Name and will appear as a tooltip as users are going through the steps. This can oftentimes be used to provide special instructions for users as they are completing the step.
- Authorization: if a step requires both completion and authorization, check this box
- Upload: if there is document upload that should be included when completing and/or authorizing a step, then this box should be checked. Document upload is not required by checking this box however as upload may have been done elsewhere.
- Notarization: if this box is checked, a message will be displayed when a user completes or authorizes a step indicating that notarization is required.
- Users Able to Complete and Authorize: this section should be used to indicate which users can complete and authorize tasks.
- Alerts: this section can be used to have alerts displayed on the portal's main page for different type of users.
- Email Notifications: this section allows you to configure the recipients and contents of emails sent at both completion and authorization if applicable. By configuring this, users will then not need to separately email different parties as Worktrack will do this for them.
