DB Precision provides two ways to validate and cleanup participant data. One is to run data validations for the sponsor group, and the other is to run the Data Cleanup Wizard.
While not a required step, it is considered a best practice to run data validations for a Plan Sponsor with each valuation cycle. To quickly do this, open the Plan Document and then press the Check Sponsor Group button on the Data tab of the main ribbon. A screen will appear where you should then confirm that the prior and current valuation dates are correct and then press OK.
After DB Precision finishes processing, a screen showing the validation results will appear. On this screen, you will see three tabs, one which summarizes the results, one which shows possible errors, and one which shows changes worth noting since the last snapshot. There are oftentimes a large number of errors which appear so you may want to use the Filter button to limit errors based upon type, date, and participant status.
Once you have filtered your results to relevant errors, you can produce a listing of these errors by checking the box Export listings to file and pressing OK.
If you found after looking at the validations that certain errors are not relevant and should not be displayed with future validations, you may want to create a Validation Definition for the plan so that you can choose which standard validations should be run. In addition, by creating a Validation Definition, you can also write custom validation errors to flag conditions specific to a plan that are not part of the standard errors. Once you have created a Validation Definition, you will see it listed in the Method to Use dropdown list the next time you run validations.
Another way to validate and cleanup your data is to use the Data Cleanup Wizard. Running the wizard is easy and it provides a quick way of cleaning up common issues. To run this wizard, open the Plan Sponsor and press the Data Cleanup Wizard button found on the Data tab of the main ribbon. This will open up the Data Cleanup Wizard screen where you can check boxes to have DB Precision check certain items.
A check box, Process recommended tasks when checked will automatically fix the issues identified. You should first run the wizard without this box checked and then, after seeing the issues identified, rerun with this box checked.
