To create the data request, follow these steps:
- Create the Request: open the Plan Sponsor and press the button Create Request found on the Valuation tab of the main ribbon. This will open the Create Data Request screen. Here, you will be asked to specify the date of the request (upcoming valuation date) along with other options. For detailed instructions on items found on this screen, click here.
- Review the Request: an Excel Workbook is created that includes tabs for each participant status (active, terminated vested, etc.). Review this workbook and confirm that the participant counts on each tab match the prior valuation's counts (the only way the counts will not match is if an adjustment to the data was made outside of DB Precision). In addition, look through the sheets and make sure that all necessary Reported Amounts are being requested (earnings, hours, group code, etc.). Finally, you may want to change the column headers for Reported Amounts to be more representative of how the sponsor references each amount.
- Send the Request: securely send the data request to the sponsor using one of the following methods:
- Secure Email Service: if you already utilize a secure email service, use this to send the request.
- DB Precision Archive: if the sponsor has portal access, save the Excel workbook as an archive and then grant Sponsor Contact access to the archive. Then notify the sponsor of the document's availability through the portal.
- WinZip: zip the file and put a strong password on the file using WinZip. Then send it to the sponsor as an attachment to an email.
Multiple Plans: for sponsors that have multiple plans, you will need to send out a separate data request for each plan. For these sponsors, it is generally a good idea to hide ineligible participants from the data request (option on the data request screen).
Frozen Plans: for frozen plans, it is generally a good idea to hide ineligible participants so that the sponsor does not report information that will never be used.
Dynamically Calculated Benefits: for plans that have benefits that are dynamically calculated, a hidden column on the Terminated Vested tab can be used to identify these participants. You should not import benefits for these participants unless they retire because DB Precision will handle anything that changes for them automatically (increasing cash balance for example).
Return of Employee Contributions: for plans that return employee contributions to non-vested participants, participants where contributions are still due will appear as terminated vested on the request. You may want to notify the sponsor of this so that they understand why they are still appearing on the data request.
