Import Row (Import Provision)
The Import Row Screen details the actual layout for a row of data within a specific import file when loading Person information into DB Precision. This is also known as the Import Provision Screen.

Import Definitions generally only require a single provision as most import files only contain data under one format. However, if a file contains more than one format, a provision must be set up for each layout.
Screen Items
  • Row Identifier: for use with import files that have multiple layouts. This area is unghosted only if the box Import file contains more than one layout is checked on the Import Definition screen.

    Choose the unique row identifier on the import file that corresponds to this layout. Such identifier is located within the Layout ID Column specified on the Import Definition screen. No two provisions for a given definition may have the same row ID. When this ID matches the code within a row of data on the import file, the system will use the matching provision's layout to extract data from that row.

    If more than one identifier should use the same layout, you may separate each file identifier by a semi-colon within the same Import Provision row identifier.
  • Row Description: for use with import files that have multiple layouts. This area is unghosted only if the box Import file contains more than one layout is checked on the Import Definition screen.

    Use this space to provide a description for this layout. The description entered shows up on the Plan Sponsor tree next to this Import Provision, making it a useful way to distinguish between multiple layouts.
  • Social Security Number Location (SSN): For space-delimited files, enter the Starting Column and Ending Column for Social Security Number in the import file for this layout. For spreadsheets and character-delimited files, only the Starting Column is specified to indicate SSN's position within the row.
  • Prior Social Security Number: use to specify the location of prior Social Security Number if SSN is begin changed as part of this import. The column specified here should contain the SSNs that match the SSNs stored in DB Precision prior to the SSN change.

    Check the box Import file contains prior SSN to indicate the file contains changes in SSN. For space-delimited files, enter the Starting Column and Ending Column of the prior SSN field for this layout. For spreadsheets and character-delimited files, only the Starting Column is specified to indicate prior SSN's position within the row.
  • Row Items: area to add, delete, edit, and view the data items in the import layout.
    • Item List: lists the data fields to be included in the import. Double clicking an item on the list allows you to edit that item's details via the Import Item screen.

      Items can be added to the list using the green "+" button or by selecting the Wizard button, both described below. The green "+" button allows you to add individual items one-by-one, which works fine when adding just a few fields but can be time consuming when several are involved. In this case, the Sponsor Import Wizard provides a better, quicker alternative.
    • Green "+" Button: used to add a single item to the import layout. Once you add an item to the list, make sure the row is highlighted, select the field to be included in that position using the drop down box labeled Item Selected below, and then double click on the row to edit the item's details.
    • Red "-" Button: used to delete an item from the import. Simply select the item you wish to delete so that it appears highlighted and then hit the red "-" button.
    • Item Selected: used to select the field to be included in a specific position in the import. With a row highlighted in the list, choose an item from the drop down box then double click on the row to edit its details.
  • Wizard: use this button to access the Sponsor Import Wizard, the easiest way to add several items to your import layout at a time.
