The Service Reported Amount Screen allows user to indicate how Reported Amounts equate to service accruals within each service sub-period.
- Basic Allocation Parameters: area to define basic allocation rules for the selected Reported Amount.
- Reporting Periods or Hours Equivalencies: choose between using an actual Reported Amount or Hours Equivalency rules.
- Use Reporting Periods: select this option if the amount to be measured is the Reporting Period of a Reported Amount (as opposed to hours equivalencies).
- Reported Amount Name: select the name of the Reported Amount to be used.
- Override values with: check this box if the numeric value of each Reported Amount needs to be overridden with a Formula Derived Item (which must then be selected), and whether to override with all amounts, only actual amounts, or only projected amounts.
- Additional Amounts: if there are additional Reported Amounts that need to be added, you may specify them here (up to two additional amounts).
- Use Hours Equivalencies: choose from one of the following options to equate periods of time with equivalent amounts. This is most commonly used with prototype plan documents.
- Month = 190 Hours
- Semi-Month = 95 Hours
- Week = 45 Hours
- Day = 10 Hours
- Working Day (Monday - Friday) = 8 Hours
- Conversion Method: choose from no conversion, a table conversion, or a ratio conversion.
- No Conversion: choose this option if the Reported Amounts are to be used as is. This would be used if the Plan Sponsor regularly reported actual service accrual units.
- Table Conversion: choose this option if service accrual was earned based upon some table. If the plan specifies that 1,000 hours equals one year (common), then choose this option.
- Ratio Conversion: choose this option if service accrual is determined by taking some reported amount and dividing by a fixed amount (1,000 for example).
- Periods Receiving Allocation: choose which types of periods (first, interim, last, etc.) should receive the service allocation. If Reported Amount allocation rules are different for the same amount but for different periods, you can have multiple Reported Amount rows on the Service Provision screen for the same amount.
- Combination Type: space to indicate whether this amount allocation is to be added or subtracted (rare) from the service sub-period.
- Allocation to Multiple Periods: choose how the amounts should be split up or kept together when they span more than one period.
- Prorate: this option should be chosen if amounts are to be allocated to service sub-periods by prorating each amount based upon time.
- Start Date: this option should be chosen if the reported amount is to be allocated to a given service sub-period if the start date of the Reported Amount falls within that sub-period.
- End Date: this option should be chosen if the reported amount is to be allocated to a given service sub-period if the end date of the Reported Amount falls within that sub-period.
- Start of Reporting Period: choose this option if amounts are to be applied based upon the reporting period start date.
- Date Received: choose this option if amounts are to be fully allocated to different earnings periods based upon the Date Received of the amount.
- Accumulate/bank excess amounts for future use: check this box if Reported Amounts are accumulated in a bank that can then be used for subsequent service sub-periods. Press the Rules button to specify the rules for bank accumulation and withdrawal.
- Table Conversion: area to specify how the Reported Amounts equate to service units within each sub-period. To use this section, Table Conversion must be selected as the Conversion Method. The first column shows the amount beyond which the value shown in the second column is credited to a Person. For a 1,000 rule service accrual, you should have two rows shown, the first row showing 0 - 0 and the second row showing 1,000 - 1.
- Ratio Conversion: area to specify the rules for when service accrual is based upon the ratio of each reported amount relative to some fixed denominator. To use this section, Ratio Conversion must be selected as the Conversion Method.
- Conversion Ratio Denominator: area to indicate how to determine the denominator in the ratio conversion.
- Type: choose from one of the following options for determining this amount:
- Fixed Amount: choose this option if the denominator in the ratio is always the same amount.
- Reported Amount: choose this option if the denominator can vary based upon the value of some other Reported Amount (rare).
- Adjust values for partial periods: check this box if the denominator value should be adjusted (reduced) for partial periods.
- Value above which a full unit is earned: area to indicate the amount beyond which a full unit is earned during a sub-period (if applicable).
- Type: choose from one of the following options for determining this value:
- Fixed Amount: choose this option if the amount beyond which a full unit is earned during a sub-period is always the same amount.
- Reported Amount: choose this option if the full unit amount can vary based upon the value of some other Reported Amount (rare).
- Adjust values for partial periods: check this box if this value should be adjusted (reduced) for partial periods.
- Value below which no unit is earned: area to indicate the value below which no unit is earned for some period.
- Type: choose from one of the following options for determining this value:
- Fixed Amount: choose this option if the amount below which no unit is earned during a sub-period is always the same amount.
- Reported Amount: choose this option if the zero unit amount can vary based upon the value of some other Reported Amount (rare).
- Adjust values for partial periods: check this box if this value should be adjusted (reduced) for partial periods.
- Partial Period Adjustments: for partial periods determined using ratio conversion, this area allows a user to specify how the converted amount should then be rounded (if rounding is then applicable).
- Elapsed Time Minimum: area to indicate whether or not an elapsed time minimum is to be applied to each service sub-period. Check the Apply box if an elapsed time minimum is to be applied.
- Calculation Method: area to indicate which elapsed time calculation method is to be used for determining this minimum. Fill in the Value of Days or Working Days if one of these methods is chosen.
- Credit service through end of day: check this box if service is to be calculated through the end of the elapsed time end date (common).
- Credit service through weekend: check this box if service is to be calculated through Sunday when the period end date falls on a Friday.
- Only applies if partial period: apply the minimum only for partial service periods, not full periods.
- Only applies if Reported Amounts are at least equal to: check this box if the minimum only applies when the Reported Amount (indicated at the top right of this screen) is above the limit entered here. Also indicate whether the requirement should be prorated during partial periods.
- Per Period Service Amount Limits: area to indicate per-sub-period minimum and maximum, if any.
- Period Validation: check the box, Show error if more than one reported amount in a period, if a validation error should appear when there is more than one Reported Amount within a sub-period.
- Per-Period Service Amount Rounding: area to specify rounding to be applied to each sub-period's reported amount allocation, including Round Type, Round Unit, and the number of Repeating Decimal Digits.
